Privacy Policy

Fielddly ("we", "us") provides a service that reads incoming email, classifies messages as sales leads using AI, and pushes structured lead data to your CRM or spreadsheet. This policy explains what data we access, why, and how it's handled.

1. Information we collect

  • Account information: your name, email address, agency name, and a hashed password.
  • Gmail data (with your explicit authorization via Google OAuth):the content of incoming email messages in the inbox you connect, sender/subject metadata, and the ability to apply labels to messages we've processed.
  • Google Sheets data (with your explicit authorization via Google OAuth): read/write access to the specific spreadsheet you connect, limited to its header row and appending new rows of lead data.
  • CRM credentials: API tokens or OAuth tokens for CRM destinations you connect (e.g. Pipedrive), stored encrypted.
  • Usage data: which features you use, extraction volume, and error logs, to operate and improve the service.

2. How we use Gmail and Google Sheets data

We access Gmail and Google Sheets data only to provide the core function of the service you signed up for:

  • Reading email content to determine whether a message is a sales lead and extract structured fields.
  • Applying a label (e.g. "Fielddly/Lead") to processed messages so you can see the result directly in Gmail.
  • Writing extracted lead data as rows in a Google Sheet you've explicitly connected.

We do not use Gmail or Google Sheets data for advertising, and we do not allow humans to read your email content except where necessary for security, legal compliance, or with your explicit consent (e.g. when you contact support about a specific message).

Fielddly's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

3. Who we share data with

  • OpenAI— email content is sent to OpenAI's API to classify messages and extract structured fields. OpenAI processes this as a service provider on our behalf and does not use it to train their models under their API terms.
  • Your connected CRM or spreadsheet — only the specific lead data you approve for push, sent to the destination you explicitly configured.
  • We do not sell your data, or your customers' data, to anyone.

4. Data retention and deletion

We retain message and lead data for as long as your account is active, so you can review your history. Disconnecting a Gmail or Google Sheets connection revokes our access immediately. You can request full account and data deletion at any time by contacting us at privacy@fielddly.com.

5. Security

Passwords are hashed, never stored in plain text. CRM and integration credentials are encrypted at rest. Access to production data is limited to what's necessary to operate the service.

6. Children's privacy

Fielddly is a business tool and is not directed at, or knowingly used by, children under 16.

7. Changes to this policy

We'll update the date at the top of this page if this policy changes materially, and where required, notify account owners by email.
